Make invitation specific
Name public venue, time and approximate duration. Specific plans reduce misunderstanding and allow everyone to judge transport, cost and comfort before agreeing.
Keep first meeting simple
Coffee, breakfast or a short public walk creates enough time to assess group without committing an entire day. Remote hikes and shared overnight transport are poor first meetings.
Confirm attendance
Check who is coming and whether additional people are being invited. Group size changes transport, bookings and comfort. Nobody should discover major plan changes only after arriving.
